Project Summary
Users of the project management platform MateRiX, spend a lot of time organising their job's task list, resulting in bloated admin time, incorrect or out dated data on the platform and users missing key deadlines.
It was found that the functionality on the page was holding users back by getting users to perform repetitive actions and restricting user options.
Several solutions were recommended to fix these issues but due to time restraints, the bulk editing functionality was chosen and developed to help reduce these issues.
The Problem
We've heard from team members and managers that when creating a new job or when a job's details change, they get frustrated with MateRiX because it takes them a long time to update their task list. As a result, they tend to delay updating it until the very last minute.
Due to the delay, management has seen an increase in:
Incorrect or out of date data on the platform
Users missing key deadlines
Goals
Users:
Reduce the time it takes to update task details so that users are more likely to update them as they change.
Business:
Reduce the amount of time users spend on admin.
Reduce the number of incorrect or outdated data on the platform.
Reduce the number of missed key deadlines.
Research
After speaking with 4 team members, it was determined that the platform was holding users back by:
Getting them to perform repetitive actions
In order to edit a task, users would have to follow a series of steps to open the edit modal and confirm their changes. When editing multiple tasks, users would need to perform those steps again.
Restricting their options:
MateRiX only provides users 1 way of editing a task (via kebab menu).
When a job is created, users can ask the platform to auto-generate a task list based off a template. However, users have no control over what exact tasks are imported and their details.
After analysing 3 competitor platforms (Asana, ClickUp and Monday.com) I composed a list of solutions that they have implemented that I believe would address the specified problems and plotted them out in an Effort v Value matrix with the Product Manager to propose to the Director.
Due to the tight deadline, the bulk editing feature was chosen as it had the greatest impact for users and was the easiest to develop.
The Solution
After 2 rounds of mid-fidelity wireframing and user testing with 4 users each, we landed on a final design that made sure the solution was:
Results
The feedback we received from team members and managers was extremely positive, with many noting the convenience of bulk editing. Although no formal benchmarking was conducted, team managers have stated a noticeable decrease in:
Time spent on administrative tasks which was measured through time logged on tasks labelled 'Admin'.
Outdated data on the platform which was observed through monitoring of team Slack channels.
Team members missing key deadlines which was measured through the platform's task list.
